The one definition that matters

What counts as an active client

This is the whole contract, so it is written here rather than in a footnote. If any of it reads as ambiguous to you, tell us and we will fix the wording.

A client who had a live plan or an open package at any point in that month. One day of either makes the month active.

Archived

A client on your account who had neither, for the whole month. Their plans, check-ins and notes stay where they are, and you can open and read them.

Once

One rate a month

No client is billed at both rates in the same month, and nothing is prorated in either direction. A client you take on partway through the month is one active client for that month.

Month end

When the count is taken

On the last day of your billing month, looking back across the month that has just ended. The invoice follows, so you are always paying for a month you can already see.

A client you delete before the count is taken does not appear on that invoice or any after it. Deleting removes the record; archiving keeps it. There is no minimum — a month with four active clients costs $40.

What is included

There is one version of PlanRhythm, and you have all of it.

We do not think a solo dietitian deserves a worse tool than a clinic. She usually has less time, not less need. So there is nothing to upgrade to: every feature, every practitioner login, every update, at the same rate per client.

Meal plans built in a weekly grid, versioned, published to her phone a day at a time — in katoris, cups, rotis and slices, not grams she has to convert.

Daily check-ins with five honest answers — followed, adapted, ate something different, couldn't do it, skipped. Nothing recorded is ever counted against her.

Photo, voice-note and free-text logging, plus water, sleep, stress and Bristol without a scheduled slot.

Progress charts in neutral ink. No score, no grade, no streak, no red day.

Two-way messaging with attachments, and consultation notes with a lock and a revision trail.

Intake questionnaire and a review queue that puts flagged answers in front of you before the first call.

A food library you can tag with the diets your practice actually sees — vegetarian, vegan, Jain, halal, kosher, gluten-free, eggetarian — and fasting periods like Ramadan, Lent, Navratri and Ekadashi.

Where your data lives

Your practice's data sits in your region, and stays there.

PlanRhythm runs on Microsoft Azure. Your data lives in the Azure region for your market, chosen when we set you up, and it does not move between regions. It is encrypted in transit and at rest, reachable only by the people you give roles to, and every access is written to an audit trail you can read.

Questions people ask before they sign

What counts as an active client?

A client who had a live plan or an open package at any point in that billing month. If you published her week on the 3rd and it ran to the 20th, she is active for that month and costs $10. If she had neither at any point in the month, she is archived and costs $3. Nobody is billed at both rates in the same month.

The count is taken on the last day of your billing month, looking back across the month that has just ended, so you are paying for a month you can already see rather than one we are guessing at.

What happens if I archive a client mid-month?

She was active during that month, so that month bills at $10. From the following month she bills at $3, and stays there until you give her a live plan or an open package again — at which point that month is active again. Nothing is prorated in either direction, which cuts both ways: a client you take on partway through a month is also one active client for that month, not a fraction of one.

Can I delete a client instead of archiving her?

Yes. The $3 is for keeping the record — her plans, check-ins, notes and payment history stay intact and readable, which is what you want for a client who may come back in six months, and what your professional record-keeping obligations may require of you anyway.

If you do not need the record, delete the client. She stops counting from the next invoice. Deleting removes the record, and we cannot bring it back afterwards, so it is worth being sure — but it is your decision to make, not a door we lock.

Do I pay for staff logins?

No. Add as many practitioners as your practice needs. Owner and staff roles are included, staff see only the clients assigned to them, and none of it changes the bill. You are billed for clients, not for seats — a receptionist who books appointments costs the same as no receptionist at all.

What currency am I billed in?

US dollars. Every price on this site is USD, and your invoice is in USD, plus local tax where we are required to charge it — VAT in the UK and Europe, and the local equivalent elsewhere. Give us your VAT number or local tax registration at signup and it goes on the invoice, so your accountant can reclaim it where you are eligible.

Where is my data stored?

On Microsoft Azure, in the region for your market, chosen when we set you up: Central India, UAE North, West Europe, East US, Canada Central or Australia East. It is encrypted in transit and at rest, and it does not move between regions. If you need it in a particular one of those, say so on the demo call and we will set you up there.

If you close your account we keep the data for 60 days, then delete it within a further 30 days. Ask us to delete it sooner and we will.

See it before you decide the price is fair

Twenty minutes, screen shared, your questions and your real clients in mind. If it is not right for your practice we will say so — we would rather you stayed on your spreadsheet than paid for something that does not fit.
